Information we collect

• What you type into our forms: your name, business name, email address, phone number, your current website if you have one, the kind of work your business does, depending on the form whether you already own a domain or what you are interested in, and a message about your project.
• Records we create about an inquiry: an inquiry reference, when it was received, which form it came from, the result of automated spam checks, and our own notes on where it stands — for example whether we reviewed it, sent you a link to get started, or declined it.
• Checkout and billing records: your email address, contact name, business name, phone number, your answers about your current website, your Stripe customer and subscription references, your subscription status, and billing dates.
• Agreement records: which version of our Website System Agreement you accepted, when, and a reference to the checkout it belongs to.
• Written approvals: when you approve your website in writing, your name, the email address the approval came from, and what you approved.
• Emails you send us, and the emails we send you.

How we use information

• To reply to your inquiry, understand what your business needs, and send you a link to get started when that is the right next step.
• To take payment, run your subscription, and keep billing records.
• To build, approve, launch, host and maintain your website, and to send you emails about your project, your subscription and your website.
• To keep a record of agreements, approvals and payments.
• To keep spam and abuse out of our forms, and to operate, secure and troubleshoot our systems.

Website and contact inquiries

When you submit one of our inquiry forms, your inquiry is stored in our operations database, which is hosted by Supabase, and emailed to our business inbox. The email is delivered by Resend and received in Gmail.

If a delivery step fails, the inquiry may be written to our server logs so that it can be recovered.

Payments and billing

Payments are processed by Stripe on Stripe's own checkout pages. Your full card details are handled by Stripe; Monarch Systems does not receive or store them. Stripe may also collect other information needed to take the payment, such as a billing address, and handles it under its own privacy policy.

We receive and keep the billing records needed to run the service, as listed above: your contact and business details, your Stripe customer and subscription references, your subscription status, and billing dates.

Customer websites and inquiry forms

Websites we build for customers can include a contact form. When a visitor submits one, the message is emailed through Resend to the inbox the customer chose. It is not stored in the Monarch Systems database.

Customer websites are hosted on Cloudflare. To keep spam out, their forms use Cloudflare Turnstile, which may process the visitor's IP address.

Each customer decides how they use the inquiries their own visitors send them. If you contacted one of our customers through their website, please contact that business directly about your inquiry.

Service providers

We use these providers to run our website and service. Each receives only what it needs for the part it plays:

• Vercel — hosts this website.
• Railway — hosts our customer application, including the pages customers use to get started and pay, and our internal tools.
• Supabase — our operations database, and sign-in for people with accounts in our customer application (Monarch Systems staff, and business owners who have been given an account).
• Stripe — payments and subscription billing.
• Resend — delivers our emails, our inquiry notifications, and messages sent through customer-website forms.
• Google (Gmail) — our business email inbox.
• Cloudflare — hosts customer websites, and provides Turnstile spam protection on their forms.
• Serper — a web-search service used by our internal sales-research tool. It receives search queries made from publicly available business details, not information you submit to us.

Cookies and analytics

The Monarch Systems marketing website does not use analytics or advertising cookies. It runs no analytics, tracking pixels, advertising tags or session recording, and its own code sets no cookies.

Our customer application uses cookies only to keep people with an account (Monarch Systems staff, and business owners who have been given one) signed in. It does not use analytics or advertising cookies.

Stripe's checkout pages are operated by Stripe and may use cookies under Stripe's own policies. Our hosting providers may process technical information, such as IP addresses, to deliver pages and keep their services secure.

Public business information and sales research

To find businesses that may benefit from our service, we use an internal research tool. It gathers publicly available information about businesses — such as the business name, address, phone number, website and public online listings — and takes screenshots of public business websites. We keep this, with notes about our own outreach, to decide which businesses to contact.

It is about businesses, not consumers, and we do not use it to build profiles of individuals.

Data retention

We retain information for as long as reasonably necessary to provide our services, maintain business and billing records, resolve disputes, comply with legal obligations, and operate our systems.

We do not currently delete information on an automatic schedule; deletion is carried out by hand. For customers, the Website System Agreement also sets out what happens to website data when the service ends.

Access, correction and deletion requests

If you want to ask about, correct, or request deletion of personal information associated with you, contact us at [email protected].

We may need to keep some records — for example billing, agreement, tax or security records — where we are legally required to, or need them to operate or protect the service. Requests are handled by hand, and there is no charge.

Security

We take reasonable steps to protect the information we hold. For example, our database restricts each account to its own records, staff access is limited, and payments are handled by Stripe rather than by us. No system is completely secure, and we cannot guarantee the security of information.

Business use

Our services are intended for businesses. They are not directed to children.
